AUUF Board of Trustees Policy: Regarding Member Participation in Board Meetings
Article VII of the AUUF Bylaws concerns meetings of the Board of Trustees of the Fellowship, but it does not address issues concerning the attendance and participation of people who are not members of the board. This policy is intended to provide some guidance in this area.
Notification of Upcoming Board Meetings
Regularly scheduled Board meetings appear on the AUUF calendar. The secretary will provide notice of all other Board meetings via the list-serv as soon as a date/time decision has been made and it has been decided that the meeting will occur. At least one attempt to contact members by phone will be made for those without email service. Given that such meetings may be called on an impromptu basis to deal with a matter of some urgency, it should be understood that there may be times when meetings are called with very little notice provided to the members. The meeting notice will specify the subject of the meeting, although that subject may be cryptic if the bulk of the meeting is expected to be in executive session.
Who Can Attend a Board Meeting?
Any member of the AUUF is welcome to attend any meeting of the Board, except any portion of the meeting which is in Executive Session. Except for a public comment period, attendees are expected to be observers and not participants in the meeting unless they have been specifically invited by the board to be active participants in some portion of the meeting.
Members of the general public who are not members of the AUUF Fellowship are excluded from attending Board meetings unless they have been invited by a board member to provide input regarding some matter that is before the Board. Attendance of members of the general public may be limited to that portion of the meeting when the visitor’s input is requested.
Public Comment at a Board Meeting
Fellowship members will be allowed to speak for up to two minutes during a public comment period near the beginning of every meeting plus two minutes when the agenda item of interest is discussed. Board members may or may not respond to comments. If a fellowship member desires a response from the board, it is strongly suggested that an email to auufboard@auuf.org or some other written communication be provided.
